Inserting a New Publication in the APICe Space

How To

In order to add a new publication (in English) to the APICe space, you should first choose a name for your document, write it in the text field above (“PublicationDocName”), then click the side button (“Insert New Publication in English”). This generates a new document in the “Publications” space, named after the name chosen, and ready to be filled with the publication information.

Please remember that:
  • the name you choose is the name of the web resource — the document in the XWiki framework, the page in the classic Web jargon
  • it should follow the Java Class naming convention — CamelCase, UpperCase Initials

For instance, the paper on CArtAgO published on Science of Computer Programming Vol. 64 should appear as “CartagoScico64”, while the paper on coordination at SAC 2008 should be named as “CoordSac08”.

Obviously, different schemes are admissible: for instance, it might be preferable to use the name of the main author instead of the content indicator, or, to use the year of publication also for journals and book series. For instance, the famous Wegner's paper on interaction, currently denoted as “InteractionCacm40”, could as well be named “WegnerCacm40”, “WegnerCacm1997”, “InteractionCacm97”, or the like. However, please keep in mind that much variations on the schemes, without solid motivations, might introduce too much confusion without remarkable benefits.

Before proceeding further, in case you are new to this procedure, you may choose to take a look to the guidelines below.


Since most of our literature comes from the articles we write, and most of them are written in LaTeX, it is quite common that our bibliographic activity results in the availability of one or more BibTeX entries. So, the easiest way to insert a new publication is
  1. checking the accuracy and completeness of the BibTeX record representing the publication we would like to insert in the APICe Publications space
  2. copying the BibTeX entry in your clipboard
  3. creating a new “Publication” document (as explained above)
  4. pasting the BibTeX entry in the BibTeX text area
  5. clicking the “Save and Continue” button, to save the BibTeX record in the database, and keep on modifying the Publication document
  6. clicking the “Get data from BibTeX” link at the bottom of the page, to parse BibTeX information and distribute it in the corresponding fields of the publication
  7. editing the document fields by adapting the LaTeX-oriented data to the simpler text setting
  8. clicking the “Save and View” button to see the resulting Publication document
  9. possibly using “Attachments” for including things like the PDF file of the publication, or the source files.
Data to adapted from BibTeX original format may be for instance the typical "{" "}" in the title, the "--" in the pages, or the LaTeX formatting for special characters like accented vowels. Please note that authors and editors should be instead kept in the "Surname, Name" form of typical of BibTeX also in the text fields, and will be handled by visualisers.

Of course, the other way round is possible: one could simply insert information about a publication in the Inline form, then click the “Get BibTeX from data” link at the bottom to produce the skeleton of the BibTeX entry to be later refined and adjusted. The only thing to remember is that at the end of the process all information should be available both in the data fields and in the BibTeX, and of course be consistent.

Also, please remember to include the abstract in the dedicated text area, whenever available: the abstract is quite important to convince the readers to proceed through a publication.

Finally, it is worth to be noted that this repository of publications is going to be as useful as the quantity and quality of the information it contains. So, everybody is more than encouraged to contribute his / her own papers and literature of interest. At the same time, there is no hurry to insert large amounts of unchecked data: sharing well-checked and suitably represented information on scientific literature is essential but takes time and efforts, indeed.
